AMAT’61 REUNION COMMITTEE

Present: Corinne Maschio Hartmann, Larry Hartmann, Larry Hurst, Chuck Sorcabal, Len Troncale
This meeting was held over breakfast at the Kellogg-West Conference Center on the campus of California State Polytechnic University, Pomona.

Chuck reported on the status numbers from the website cautioning that due to the multiple registrations by some alumni, the numbers do not necessarily accurately reflect actual contacts (see below). He urged all alumni contacted by the committee to register on the website even if they do not intend to attend this 50th reunion so we know reasonably firm numbers for planning and reservation of hotel rooms, dinner, hospitality suite food and drink, etc. Go to the URL
Current data is as follows (given the caveat above). 76 persons have responded. Four minutes are attached with from 462 to 565 “hits” for each indicating alumni are using the site. The opening page now features a concise one-page summary of reunion schedule, deposits and costs, committee details, and reservation information. The “poll” shows 69 registrants stated “yes” intend to attend (90.8%), 7 “maybe” (9.2%), 0 “no”.

Report on Communication Spreadsheet Updates: (Chuck Sorcabal; Committee members)
The reunion committee is still struggling to assemble a more complete list of contact information. Individual committee members divided up the list of “no contact” names and individually called past phone numbers to validate or eliminate past contact information. Success rates were very low. The best mechanism for finding past alumni on the “no contact” list remains through the extended knowledge of recently contacted alumni who know the whereabouts of their closest colleagues. After the last two months of effort to find fellow alumni, we have contacted 78 alumni, but still have not heard from about 76. Chuck distributed the most current list of those “not contacted” to date. This list is attached to these minutes.
First Mass Mailing and Response Specifics: (Larry Hartmann, Larry Hurst)
Using those on the “contact” and confirmed list, the Reunion Committee in two weeks will send out its first mailing. This will be a poster card with the following info on it:
1. Save the Date info
2. Reminder to sign-up on Website
3. Deposit request
4. Response questions
Larry Hartmann will design, produce, and mail the cards. Larry Hurst volunteered to print the mailing labels. Larry Hartmann created a registration form which Chuck will post on our Website and includes a checklist for response from each alumnus on what events they will attend. Return of info could be via FAX (to Chuck), via hardcopy mail (to Corinne), or directly via email response for convenience.
Treasurer Report: (Corinne Maschio Hartmann)
The current treasurer’s report was presented and approved. (It should be noted all meals and travel for these committee meetings are paid by the individuals and not from committee funds.)
Budget Report: (Larry Hurst)
The budget report was presented and approved (see attached). Larry accepted the task of preparing a summary budget for all committee and reunion activities from initiation to completion.
Subcommittee Tasks:
There was a quick review and some minor changes in those responsible for preparation tasks for the reunion events as follows:
1. Finances: Corinne and Larry Hurst
2. Secretary and Minutes: Pattianne
3. Decorations: Alice
4. Hospitality Suite Food & Drink: Denise Troncale
5. Slide Show: Larry Hartmann (screen) Len
6. Foundation Gift: Hal Tilbury
7. Music: Larry Hartmann
8. Website & Networking: Chuck
9. Fellow alumni interested in helping with these tasks should contact us.
Some New Ideas to Pursue:
1. Put up a table exhibiting booklets, photo’s, and materials from past Class of ’61 Reunions. Some of these contain pictures from each couple attending and/or related family history information.
The meeting ended with a plea for committee members and supportive alumni to send their deposits and registrations as soon as possible.
Next Meeting:
